    Community Foundation of Fox River Valley

    Description

    Position Type: Part-Time, Non-Exempt

    Reports To: Vice President of Finance & Operations

    Summary: The Administrative Assistant is responsible for providing general administrative support for the Foundation staff. The Administrative Assistant offers a welcoming, supportive, and efficient environment for all the Foundation’s stakeholders. 

    Responsibilities for this position include but are not limited to the following in addition to other duties as assigned by the Vice President of Finance & Operations.

    Primary Responsibilities


    Operations

    1. Receive phone calls and walk-ins and direct to appropriate staff;
    2. Support Foundation staff with data entry, scanning, electronic filing of documents, and shredding; 
    3. Manage the inventory of Foundation supplies, and reorder when needed;
    4. Receive and disseminate Foundation mail;
    5. Manage Foundation calendar as it relates to staff meetings, holidays, etc.;
    6. Provide logistical support for Foundation meetings and events;
    7. Maintain professional and clean offices for constituents; 
    8. Compile and disseminate information for Board of Director and Committee meetings;
    9. Assist in gathering updated contact information from Directors and Committee members;
    10. Other duties as assigned.

    Programs

    1. Order promotional items and materials and assist in dissemination to constituents as needed;
    2. Assist with event planning, set-up and communications;
    3. Prepare CFFRV informational packets, materials, and welcome packets for new fund advisors;
    4. Provide support during meetings, i.e. taking minutes, logging attendance, ordering food, etc. 
    5. Assist staff with various tasks, i.e. printing and folding acknowledgment letters and certificates, stuffing envelopes, and running reports, etc.

    Hours and Pay

    Hourly wage, $15 - $20 per hour

    15 - 20 hours per week, depending on the needs of the organization

    Flexible work schedule

    Regular operating hours are Monday through Friday, 8:30 am - 5:00 pm, some weekends and evenings

     

    Working Conditions

    This job operates in a clerical office setting.  This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines.


    Physical Requirements

    The employee must be able to sit and/or stand for up to eight (8) hours a day and exert up to twenty (20) pounds of force occasionally.

    The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.

    Qualifications

    1. Minimum of Associates Degree with a Bachelor’s Degree preferred
    2. Highly organized and creative, extreme attention to detail
    3. Outstanding communication and interpersonal skills
    4. Proficient typing and computer skills; knowledge of software packages including Microsoft Office 365
    5. Ability to manage multiple tasks simultaneously
    6. Not-for-Profit experience a plus
