Title: Development Database Coordinator
Reports to: Director of Development and Marketing
Status: Full-Time, Exempt
Organization: West Suburban Community Pantry (WSCP) creates opportunities for our neighbors in DuPage and Will Counties to thrive by providing nourishing food and access to supportive resources. WSCP operates in Woodridge where neighbors can shop in person or place an online order to secure groceries. In fiscal year 2025, WSCP provided 3.9 million pounds of food and supplies to approximately 17,700 neighbors. WSCP is a nonprofit organization raising around $2 million annually.
Position Summary: The Development Database Coordinator plays a vital role within the Development Department. This position is primarily responsible for development operations including data entry and reporting.
The primary role of the individual is to manage the core department operations including gift processing, donor receipts/acknowledgment/stewardship, and maintaining integrity of donor and contributed income financial records.
The ideal candidate has experience in effectively managing donor databases, possesses analytical skills, is organized and able to multitask. Comfortability with Windows operating environment, Word and Excel are required.
Essential Responsibilities / Key Activities:
- Development Database tasks including gift processing for operating, program, capital gifts, in-kind, and grants. Gift entry includes donations online, EFT and paper checks to be deposited at bank.
- Generates automated acknowledgments for various campaigns and drafts/edits personalized acknowledgements.
- Prepare monthly financial reports tracking revenue and perform reconciliation with bank records.
- Prepare lists, letters and execute mailings for fundraising activities including annua campaigns, cultivation and special events, and employee campaigns.
- Responsible for the maintenance of the Bloomerang donor database and records.
- Assures integrity of data and records, deleting duplicate records, appropriate coding, etc. Audits data entry for errors or incorrect codes. Duties include accurate entry of data for donor and prospect records, and the production of lists and reports.
- Maintains appropriate records of batches, paper files, and other records related to contributions and grants and provides records to auditor upon request.
- Maintain grant tracking system including updating status of grants, reporting and researching new grant opportunities.
- Serve as registration lead at fundraising events including training volunteers on check in and auction check out processes.
- Support Development Team with database queries and reports to identify appropriate donor segments for events, mailings, major gifts, etc.
- Provide excellent customer service to donors calling to make donations, request tax information or other inquiries.
- Collaborates with Development Staff, program staff and volunteers to ensure supporters receive established recognition.
- Attends staff meetings, required training, and pantry’s major fundraising and stewardship events.
- Performs other duties as assigned.
Education and Experience:
- Bachelor’s degree in related field
- One to three years of related experience, with an established record of experience with donor databases and development operations
Skills and Competencies:
- Strong computer skills, particularly in Word, Excel, and development database programs (Bloomerang database experience highly desired. Quickbooks experience a plus. Comprehensive training provided).
- Strong commitment to quality work, customer service and high productivity.
- Strong organizational skills, attention to detail with ability to prioritize and manage multiple tasks and responsibilities.
- Ability to work individually on projects as well as be a team player.
- Writing and editing skills.
- Technologically savvy and comfortable learning new platforms
- Able to handle confidential and sensitive information.
Compensation & Benefits:
- Salary range: $45,000 - $50,000 commensurate with experience
- Comprehensive health, dental, and vision insurance
- PTO includes 10 days off a year (pro-rated based on start date) plus one week off between Christmas and New Year’s Day and 9 additional holidays
- Simple IRA with 3% match
Physical Requirements:
- Prolonged periods sitting at a computer
- Occasional lifting of up to 20 pounds
- Ability to attend evening or weekend events as needed (approximately 4-6 times per year)
- Occasional exposure to warehouse environment
