    Job Title:                   Fundraising & Events Coordinator

    FLSA Status:             Exempt

    Reports to:                 SVP of External Affairs

    Position Location:     La Grange Park

    Salary Range:            $50,000 - 63,000

    SUMMARY

    Responsible for increasing awareness of the services provided by Pillars Community Health and managing relationships with individuals, businesses, corporations, service clubs, churches, and civic organizations through cultivation opportunities. Plans, organizes, and executes events of the organization to help secure financial and in-kind support from individuals, corporations, and other sources.

    Fundraising Responsibilities:

    1)     Develops strategies to effectively solicit and steward gifts through face-to-face solicitation, phone or virtual calls, letter writing, and presentations.

    2)     Continuously identifies and prioritizes new community prospects and potential funders while maintaining current relationships.

    3)     Creates and maintains a comprehensive engagement calendar and keeps leadership and External Affairs members aware of opportunities to promote PCH.

    4)     Initiates opportunities to interact with key members of the community, and tracks activities in Donor Perfect.

    5)     Reports on activities to the External Affairs committee.  Designs plans for visits, communications, tours, and other cultivation activities; and works with program managers and other staff.

    6)     Leverages corporate matching gift programs.

    Event Management Responsibilities:

    1)     Develops a yearly calendar of events, both fundraising and “friend-raising”, to engage and educate donors and potential donors on achievements and future plans of PCH. Events include but are not limited to an annual major fundraising event, smaller cultivation experiences, and community parties that include PCH as their benefactor.

    2)     Develops a comprehensive plan for each event.

    3)     Creates, solicits, and manages the sponsorships and benefits associated with sponsorships.

    4)     Contacts previous sponsors and researches new sponsors.

    5)     Researches and proposes event venues to Senior leadership, assists with venue selection, manages relationships with vendors, negotiates contracts and ensures contracts are fulfilled.

    6)     Coordinates all details with the venue such as décor, AV, printing, etc.

    7)     Develops and coordinates event materials, event videos, program content and speakers, other collateral materials, etc. 

    8)     Manages each event’s budget and expenses; oversees incoming donations into the donor database; runs reports for financial review; reconciles expenses and donations with the finance department.

    9)      Manages each event’s guest list, invitations, rsvp’s, website events page, and registrations.

    10) Assists with marketing plan for all events and Philanthropy-related needs. Shares plan with Director of Marketing to ensure that plan is implemented on social media and email.

    11) Drafts marketing copy for all event-related emails or e-blasts.

    12) Prepares all web copy and language for event web pages.

    13) Recruits, trains, and manages all event volunteers

    Other Duties

    1)     Assists in other External Affairs functions as assigned.

    2)     Further update job knowledge by participating in education opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.

    3)     Attends all required team and organizational meetings

    4)     Completes all required position and organizational training

    QUALIFICATIONS

    EDUCATION AND EXPERIENCE

    Bachelor’s degree in Communications, Public Relations, Marketing, Hospitality Management, or related degree required.   Combination of education and experience may be substituted for bachelor’s degree. At least two (2) years of fundraising and special events experience required.

    REQUIRED SKILLS

    • Continual attention to detail, establishing priorities and meeting deadlines, ability to work well under pressure, ability to manage multiple tasks, and with a positive attitude.
    • Ability to use good judgment, discretion and tact in dealing with staff, clients, volunteers, board members, donors, and the public.
    • Excellent computer skills in Microsoft Office, Word, Outlook, Excel, and Power Point. Experience with Donor Perfect preferred. Some design and layout ability desired.
    • Solid organization and planning skills; ability to communicate effectively both verbally and written; results orientation; innovative thinker; initiative; highly ethical.
    • Committed to the mission of Pillars Community Health; ability to communicate the mission and philosophy of Pillars Community Health.

    OTHER

    Must maintain a safe driving record and have current valid Illinois Driver’s License.  Personal vehicle needed for transportation to/from PCH sites, local venues, community activities, etc. Mileage for authorized work-related purposes is reimbursable.
