    Child’s Voice changes the lives of children with hearing loss. All children have or are at risk for hearing loss and they learn to listen, to speak, and to succeed. Programs serve the entire metropolitan Chicago region, spanning 80 different zip codes and supporting roughly 400 children each year.  

    Position Title: Child’s Voice, Advancement Coordinator

    General Scope of Responsibility

    The Advancement Coordinator reports to the Director of Advancement, then to the Executive Director, and will work closely with the Leadership Team of Child’s Voice and Business Office. The Advancement Coordinator has primary responsibility for all special events, including fundraising events, third party events, and on-site events. The Advancement Coordinator is also responsible for annual mailed appeals, networking to promote Child’s Voice, and presenting about the organization to outside constituents.

    Essential Functions & Duties:

    • Special Events (Internal and Third Party)
    • Annual Giving
    • Community Outreach
    • Marketing & Advancement

    Special Events

    • Plan, coordinate, implement and manage all events at Child’s Voice.

    o Plan, coordinate, implement and manage all events at Child’s Voice, this includes:

     Logistics including: timelines, work plan, deadlines, financial tracking and reconciliation with the Business Office/accounting of the organization,

     Build events on tracking platforms (i.e Greater Giving),

     Sponsorship coordination, solicitation, stewardship and recognition,

     Item procurement, solicitation, stewardship, recognition, in-kind contribution management, and donor coordination post-events,

     Committee recruitment, management, support, meetings and committee communication

     Development of marketing materials related to the event for both print and digital use,

     Accurate record keeping/tracking of all data relating to the special events,

     Coordination of volunteers, and

     Coordination of projects and relationship management with vendors.

    • Major events are: Golf Tournament, Autumn Gala, Gatherings & Get-Togethers, and others as assigned.
    • Manage Third-Party events that may include Wood Dale Gala, MBBI Golf Tournament, retail shopping events, Walk 4 Hearing, DuPage Human Race, etc.
    • Supportive events are: annual non-fundraising events and school/EI events such as the recognition ceremony, winter festival, graduate breakfast, welcome back to school breakfast, Child’s Voice birthday celebration/Valentine’s Day, Staff orientation, and other events as scheduled (i.e EHDI open house, Good Neighbor Day, etc.

    o Attendance at all of the above events is required.

    o Maintain accurate and complete records and files for each assigned special event and activity and routinely review the status of each with the Director of Advancement. Reconcile event details with the Business Office routinely both prior to and following special events. Utilize event spreadsheets, Raiser’s Edge, and Greater Giving to accurately track data.

    o Monitor & Coordinate School Committees with Principal

    Annual Giving

    • Manage and execute annual giving mailings to include 1-2 mailed appeals annually.

    o Includes production/development of solicitation materials, development and maintenance of mailing lists, coordination with mail house/vendors as needed, and stewardship.

    Community Relations

    • Coordinate and represent Child’s Voice at community events, conferences, trade shows, expos and with community organizations in collaboration with the Advancement Team.
    • Collaborate with these organizations on appropriate third party events and/or solicitation of support for outright donations to Child’s Voice.
    • Represent Child’s Voice with civic organizations and Chamber’s. This will include networking and social engagements to increase the awareness of Child’s Voice while building relationships toward future partners, sponsors, and vendors.


    • Manage annual school-wide giving campaigns/themes, working with Social Worker and Teaching staff, to create campaigns and classroom lessons.
    • Support of the Director of Advancement relating to: solicitation through mailings and annual appeals, research, preparation for minor/major gift solicitation, office management, etc.
    • Utilize research tools to seek potential funding partners.
    • Utilize Raiser’s Edge for data management of all constituents and for reports.
    • Coordinate annual spirit wear sales.
    • Assist with cultivation of staff relationships to encourage involvement in event committees and support of Child’s Voice.

    Strategic Planning

    • Execute activities to ensure the success of all pillars of the Strategic Plan of Child’s Voice


    • Maintain current knowledge of mission, goals, and strategic plan
    • Keep abreast of Child’s Voice activities and properly utilize the resources available
    • Assure the proper use, management, security and upkeep of CV facilities, equipment and documents

    Required Knowledge, Skills, and Abilities:

    • Knowledge of the process and techniques necessary to execute a successful fundraising event,
    • Considerable ability to communicate, both written and oral,
    • Considerable ability to pay attention to detail, multi-task, meet deadlines,
    • Considerable ability to maintain accurate, organized records and processes,
    • Ability to attend special events, inclusive of those that occur in the evening and on weekends.

    Work Environment and Physical Demands:

    Work responsibilities call for some levels of physically demanding activities. These conditions require that the incumbent of this position be reasonably ambulatory and willing to participate in some manual labor.

    Minimum Education, Experience, and Training:

    • Undergraduate degree from an accredited college or university with a B.A. or B.S. degree or equivalent related experience.
    • Working knowledge of applicable computer and software systems including:

    o Microsoft Office (including Outlook, Word, Excel and PowerPoint),

    o Raiser’s Edge 7 (Blackbaud) or comparable customer relationship management system,

    o Adobe Design Suite (specifically InDesign, Photoshop and Adobe Acrobat),

    o WordPress,

    o Greater Giving.
