    Manager of Special Events and Annual Giving

    Wellness House for living with cancer

    Supervised by: Director of Development and Marketing

    Supervises:   Fundraising volunteers and interns

    Status:            Full time, exempt 

    Summary of position: 

    The Manager of Special Events and Annual Giving oversees and builds relationships with individual donors and prospects to maximize financial donations and help Wellness House achieve its goals.  The Manager will split his/her time between (1) planning, executing, and evaluating events (two major events annually) to engage donors and increase WH’s prospect pool, and (2) planning and executing an annual individual giving program, including engaging, cultivating, renewing and securing donations from individuals.


     Fundraising Events: (Approximately 60% of time)

    Serve as ‘lead staff’ coordinating the Annual Black Tie Gala, the Walk for Wellness House 3k/5k, and all other donor fundraising and/or cultivation/stewardship events as planned for the year. Responsibilities include:

    • Develop a work plan and timeline for the year for events.
    • Accountable for revenue of assigned events.
    • Identify, recruit, and cultivate new corporate sponsors, committee members, chairs, and volunteers.
    • Coordinate invitation production, mailings, and manage RSVPs database.
    • Provide staff support for the volunteer-led committee for each event.
    • Place follow-up calls to table and or ticket buyers if needed.
    • Draft solicitation letters and related correspondence to sponsors, vendors, and pro bono donors.
    • Create flyers, signage, program booklets, and any other printed material as needed.
    • Secure bids from and select caterers, printers, designers, florists, etc. Serve as liaison. Manage contract negotiation and payments.
    • Develop and manage each event budget. Working with finance staff, produce financial reports.
    • Maintain files and oversee correspondence.
    • Produce evaluative reports.
    • Collaborate with Marketing Manager on strategies to market the event(s).

    Annual Giving Program (30% of time): 

    • Manage a successful annual giving program stewarding donors with effective outreach, executing fundraising appeal mailings, and updating and analyzing donor data.
    • Accountable for revenue of annual giving programs.
    • Develop successful cultivation and solicitation strategies to direct and monitor the progress of low and mid-level donor relationships.
    • Plan and implement multi-channel strategies to reach those donors and prospects.
    • Ensure that donors are adequately and immediately thanked for their contributions and updated on our work.
    • Plan donor communications collaboratively with Marketing Manager and other members of the team.
    • Advance individual donor relationships by planning and executing donor cultivation strategies.
    • Collaborate with Manager of HR and Volunteers to engage volunteers and employees in fundraising initiatives for WH.
    • Collaborate with the Manager of HR and Volunteers in developing, and then implementing, strategies to increase the number of volunteers as donors to WH.
    • Develop 2-3 fundraising appeal letters per year and manage all logistics for the success of those mailings, using the Assistant as support staff; continually evaluate those appeals for improvement and effectiveness. Stay abreast of mail appeal trends.
    • Identify major gift prospects from this segment of donors for the Directors to add to their portfolio for more individualized attention.
    • Maintain accurate records and donor information in the database.
    • Seek out and analyze data to inform WH’s development strategies.

     Managerial (10% of time)

    ·         With other department staff, participate in evaluation; utilize evaluation feedback to inform future planning.

    ·         Develop and monitor the Special Event and Annual Giving sections of the development budget.

    Other (10% of time)

    • Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
    • Perform general tasks and other duties as assigned.


    Education: Bachelor's Degree


    • 3-5 years' experience required in nonprofit development and marketing
    • Previous nonprofit event management required, annual fund experience preferred
    • Previous experience presenting to and communicating with Board of Directors


    • Excellent customer service, attention to detail, and communication skills
    • Experience with donor management software and peer-to-peer fundraising software
    • Computer skills including Microsoft Suite and Social Platforms, Constant Contact preferred but not required
